Hospital Administrative Assistant-Regular Full-Time

The San Francisco Zoological Society ("Society") is a non-profit institution that manages and raises funds for San Francisco Zoo and Gardens ("Zoo").  The Society's mission, supra, is summarized as the 3 c's: to connect our visitors with wildlife so that they care about nature and ultimately conserve it.  The Society's leadership team is comprised of a President & Executive Director as well as a professional team of Senior Managers. SUMMARY: Provides general administrative and clerical support to the veterinary & related Wellness staff and Medical Director by performing the following duties.

 

ESSENTIAL DUTIES & RESPONSIBILITIES include the following. Other duties may be assigned.

  • Assists with input of laboratory results, specialist reports, anesthesia records, and controlled drug information into ZIMS medical records system. Download and save all lab results, image studies, and histopathology reports after entry into medical records system.
  • Helps create data sets to facilitate evaluation of health-related programs.
  • Helps coordinate preparation of health certificates and carcass disposition forms.
  • Assists with scheduling routine medical procedures and meetings.
  • Supports oversight of in-house frozen and fixed tissue sample banks.
  • Assists with preparation and distribution of animal health daily activity reports and staff meeting minutes.
  • Performs general office duties including answering phones, creating correspondence, filing, postage and mailings, and scheduling courier pickups. Maintain office and courier supplies and refresh all hospital forms as needed. 
  • Assists with accounting needs, including receiving and researching all invoices and statements for approval.
  • Supports coordination of volunteers.
  • Helps facilitate veterinary student and veterinary technician student programs, including correspondence and scheduling.
  • Interacts with Zoo visitors and zoo personnel courteously and offers proper attention at all times.

 

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE: Associate's degree (A.A.) or equivalent and one to two years veterinary office experience.  Familiarity with medical terminology, medical record keeping systems, and animal care is required.

 

TECHNOLOGY SKILLS: Must be proficient in ZIMS animal management medical records within 2 months of hire. Intermediate proficiency in Microsoft Word, Excel, PowerPoint and Access desired.

 

LANGUAGE SKILLS: Ability to read and interpret medical records and other documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. 

 

MATHEMATICAL SKILLS: Ability to calculate figures and amounts.

 

REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.

 

PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
