THE COMPANY

89bio is a clinical-stage biopharmaceutical company focused on the development and commercialization of innovative therapies for the treatment of liver and cardio-metabolic diseases. The company's lead product candidate, pegozafermin (BIO89-100), is a specifically engineered glycoPEGylated analog of FGF21. Pegozafermin is being developed for the treatment of nonalcoholic steatohepatitis (NASH) and severe hypertriglyceridemia (SHTG).

THE ROLE

Reporting to the CEO, the Executive Assistant serves a critical role within the organization by assisting the CEO, CFO, and G&A with organization with all day-to-day administrative tasks, such as managing calendars, managing incoming calls, managing documents, maintaining records, taking meeting minutes any other tasks that help the team perform their jobs successfully. The incumbent will also manage the board meetings, board calendar and be their point of contact within the company for their travel and related expenses.

THE RESPONSIBILITIES

  • Complete a broad variety of administrative tasks for the CEO & CFO including managing an active calendar of appointments, composing and preparing correspondence that is sometimes confidential, arranging travel plans, itineraries and agendas.
  • Responsible for managing Board and Investor relations activities such as managing meetings and calendars.
  • Plan, coordinates and ensures the CEO & CFO schedules are followed and respected.
  • Provide "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's & CFO's time and offices.
  • Keep the CEO & CFO aware of upcoming commitments and key business calendar appointments.
  • Work closely and effectively with the CEO & CFO to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Act as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO & CFO updated.
  • Capture verbal tasking provided by the CEO & CFO to direct reports, track the relative prioritization and execution of those tasks.
  • Successfully complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence and other tasks that facilitate the CEO's & CFO's ability to effectively lead the company.
  • Serve as the CEO's & CFO's administrative liaison to key industry, government guests and network members.
  • Maintain discretion and confidentiality representing the CEO & CFO and in relationships with all organization employees.
  • Edit and complete first drafts for written communications to external stakeholders.
  • Aide CEO & CFO in preparing for meetings and presentations including gathering data, drafting PowerPoint slides, sending pre-meeting agendas, notes and invites.
  • Prepare conference rooms for in-person meetings of the CEO & CFO - includes set-up and cleanup of conference room.
  • Completes projects and assignments by establishing objectives, determining priorities, managing time, collaborating with others, monitoring progress, problem solving, and being flexible.
  • Timely submission of expense reports for CEO & CFO.
  • Oversee the CEO's & CFO's financial expenditures including travel, holiday gifts, etc.
  • Anticipate the needs of the CEO & CFO in advance of meetings, conferences, etc.
  • May be asked to attend executive meeting for agenda, time, and PowerPoint slides management and/or taking minutes.
  • Assist in promoting and coordinating organization-wide activities.
  • Light support to the rest of the G&A Team.

THE QUALIFICATIONS

  • 5+ years related experience providing support to the C-Suite level management/10+ years as an Administrative Assistant, or equivalent combination of education and experience.
  • Previous experience working with the board managing meetings and calendars.
  • Must have an Associate's degree/ Bachelor's preferred.
  • Experience in the biotechnology industry highly desired.
  • Ability to work from SF Office 2 days per week.

SALARY & LEVEL

89bio considers a range of factors when determining the salary and level. These considerations mean actual salary and level may vary. The salary range for this position is $125,000 - $150,000 and will be commensurate with experience.
